24007/19/20231The housing office needs a number of improvements such as:
1. Being open outside of the working day, as being open 8am - 4pm weekdays leaves no room to pay rent or sort out other housing issues for most people who will be working within that time range.
2. As it stands the only options to pay rent are to pay in person, which as stated isn't feasible for working hours; pay by phone, which is a security violation as it involves reading your card details out over the phone; and pay by mail, which is absolutely ludicrous since a secure, online portal to pay rent is a much safer and more convenient option for everyone than the above. The fact that an online payment portal hasn't been implemented yet is staggering. So either set up an online rent paying portal, or extend opening hours to at least 6pm, or possibly open for a short while weekends.
3. There needs to be an emergency contact for the housing office since people who arrive outside opening hours who have problems with housing (which happens frequently) are stuck dealing with security, passing on messages from housing. So we need some kind of 24 hour direct contact with housing.

24507/19/20231Delivering mail to Fermilab is incredibly inconvenient. I understand that packages need to spend a few days in the Fermilab mail depot, but whenever I order there is a good chance that the delivery is unsuccessful due to the security gate being closed or the drivers not being able to find the mail depot. Plus, all deliveries take 2-5 extra days with how long it takes for packages to go from the mail depot to the housing office basement, making deliveries infeasible. 24707/19/20231the UK office booked a room for me and I was quite new so I did not really know what the entire procedure was. The calendar had my name on it and I found out that I was supposed to fill in a form like a tenancy agreement just before I flew so I explained that I could not do it as I would be travelling and that the housing never got in touch regarding it. One of the problem was that the housing never got in touch explaining the procedure which is why I contacted the housing to say hey, I'm coming in like 2 days and that is when they told me about this agreement and everything. So I contacted them explaining everything and this person said that the room has been booked for me and that I should not worry and that I can send over the form as soon as I can. When I turned up at Fermilab, the scan did not work (it has not worked for a lot of people) and then they said nope, we can't let you in because there is no room booked under your name

It took a lot of emails to clarify and Andrea (the UK liason was also quite confused)

hey even asked my friend to send them an email stating my nationality and everything and to say that they should grant access to me when I already had a letter saying on-site access and the formal invitation that you get

From what I understood, there was a nationality bias (that is what I have heard)

my supervisor contacted the UK liaison and told them when I was arriving, gave them a budget code etc etc, they asked me to fill in some forms which then confirmed my stay and dates depending on the availability in the UK house like for example site 56 which I think is a DUNE UK house

Feedback: Dear UEC members,

I'm writing about housing. I learned that the rules will change starting in January 2024.

Apparently:
- it will not be possible to stay in one of the houses for stays of less than 30 days;
- when applying for housing, dorms will be preferentially assigned, before authorizing to stay in a house.

This seems to be irrational and counter-productive.

Some thoughts:

- Most people who regularly visit Fermilab, come for periods shorter than a month. They know in advance and therefore they are the ones who will be first asked to occupy the dorms (which must be occupied first);

- "Short-time" visitors - who occasionally come for a meeting, a conference, or a specific job and typically decide on a short notice - would go to a house (if dorms are occupied). However they will not be able to do it because stays at a house are only authorized for at least 30 days;

- Groups that rent long-term, typically rent a house as a support for the group's users (eg the case of CMS) is very convenient for the users. Keeping rooms occupied is mandatory as it helps cover the monthly costs. Many users (probably most) come for periods of less than 30 days. This creates a problem with an economic sustainability, both for the groups and for the users.

These new rules are unfortunate and complicate the visits to Fermilab by the users, and are in stark contrast with the goals of the lab that created the Village housing complex as a secure, reliable, comfortable, convenient support for the lab activities.

I hope this situation will be rectified.

Feedback: Village key box top high.

The village key collection boxes are too high and difficult to reach for those with disabilities. A student recently visited who was too short to reach the keys and was unable to access there dorm. They had to call a colleague who lived near by to allow them to access the key boxes.

Please put the boxes lower for those who cannot reach to that height
