GENERAL INFORMATION: A block of rooms has been reserved at the prestigious Pheasant Run Resort (http://www.pheasantrun.com/) in St. Charles, Illinois, 8 miles from Fermilab. The conference rate for these rooms is $74 + 11% taxes. Rooms will be available for check in for April 15 through April 20. All rooms have wireless internet access. Please see below to make reservations. Note that the conference's daily free bus service will only run between Pheasant Run and Fermilab (i.e., it will not serve other hotels in the area).
RESERVATIONS: To take advantage of the conference rate, we recommend that reservations be made using this link: http://reservations.ihotelier.com/crs/g_reservation.cfm?groupID=726003&hotelID=2932 .
or by phoning Pheasant Run directly at 1-800-474-3272 (tell the reservationist that you are with the Fermilab CLASFF12 group, and you will get the $74 conference rate).
The deadline for receipt of hotel reservations at the conference rate is March 23, 2012. After that date, rooms at the conference rate will be on a space-available basis. (If the block of rooms runs out before that date, please let us know: we might be able to secure additional rooms at the conference rate.) Note that, with this conference rate, the Pheasant Run resort fee is waived for the period of the conference, and registrants should ignore any reference to it on their confirmation e-mail message. (Of course, if such a fee shows up on the reservation confirmation message, and one wishes to double-check directly with the hotel, that is fine, too.)
CANCELLATIONS: Please note that, if a reservation is cancelled at least 48 hours prior to the arrival date, your credit card will not be charged and any deposit made will be refunded. If a reservation is not cancelled at least 48 hours prior to the arrival date, one night's accommodation (plus applicable state and city taxes in effect at the time) will be charged. If you do not arrive on the first night, guaranteed reservations are cancelled, and one night's accommodation (plus applicable state and city taxes in effect at the time) will be charged.
