Cancellations
Cancellations must be communicated in writing via email to the ARIS 2017 Local Organizing Committee at [email protected].

For Delegate cancellations, pre-paid registration fees are refundable less a $100 USD processing fee if notification of cancellation is received in writing by Monday, 24 April 2017. Cancellations after 24 April 2017 may result in forfeiture of the entire delegate registration fee; however, a substitute registrant will be accepted. Refunds may be granted for no-shows under extenuating circumstances at the sole discretion of the conference organizers.

For Sponsorship cancellations, pre-paid sponsorship fees are non-refundable.

For Exhibition cancellations, pre-paid booths fees are refundable less a $200 USD processing fee if notification is received in writing by Monday, 27 March 2017. Cancellations after Monday, 27 March 2017 will result in forfeiture of the entire exhibitor registration fee. Refunds will be made by credit card or check, depending on the original payment method.

Payments
For Delegates, payment is required upon registering via the Facility for Rare Isotope Beams (FRIB) CASHNet store with a Visa or MasterCard. ARIS 2017 also accepts certified checks and bank transfers using the Bank Transfer Registration option. Payment is expected within 14 days of registration.

For Exhibitors and sponsorships, payment is required upon registering via the Facility for Rare Isotope Beams (FRIB) CASHNet store with a Visa or MasterCard. Invoices can be provided upon request only for payment of Exhibitor Booth Fees. Should you require an invoice, please send an email to [email protected].
Please note: Booth space cannot be guaranteed until full payment has been received.

Booth Etiquette
During Exhibition opening hours, booths should be attended by an authorized representative, technically qualified to explain and demonstrate the equipment or services displayed.
The Conference reserves the right to remove any display that, because of noise or other objectionable features, detracts from the scientific and educational nature of the exhibit.

Sub-letting
Exhibitors are not permitted to sublet booths or portions of booths to non-registered companies or individuals.

Compliance
The Exhibitor assumes all responsibility for compliance with all pertinent ordinances, resolutions and codes of duly authorized local, state, and federal governing bodies concerning fire, safety and health, together with the rules and regulations of the Keystone Conference Center.

Storage, Set up and Dismantling
Because of the limited storage space we cannot guarantee to fulfill all requirements concerning the storage space. Please take this into consideration for the delivery of your material. Keystone Conference Center, Michigan State University (MSU), Facility for Rare Isotope Beams (FRIB), TRIUMF, nor the Department of Energy, assumes no liability for damage and theft.

Time schedule for set up and dismantling is as follows:
On Sunday, 28 May 2017, exhibitors should set up their displays between 4:00pm and 7:00pm MDT.
On Thursday, 1 June 2017, exhibitors should remove their displays between 6:00pm and 9:00pm MDT.

Information on sending materials will be announced 12 weeks prior to the conference.

Logo Usage
Upon registering as an Exhibitor in the ARIS 2017 Industrial Exhibition or a Sponsor of the ARIS 2017 Conference, you grant ARIS 2017 permission to use your company’s logo in promotional materials including on the conference website, program, and applicable signage.

Upon receiving written confirmation of payment in full from ARIS 2017, please send your company logo graphic (300 dpi or greater) to [email protected] for inclusion in the LINAC 16 Conference program and on the LINAC 16 website.

Hold Harmless Clause
The Exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of Exhibitor’s activities in the Keystone Conference Center and will indemnify, defend, and hold harmless the Keystone Conference Center, its owner, and its management company, as well as their respective agents, servants, and employees and Michigan State University (MSU), Facility for Rare Isotope Beams (FRIB), TRIUMF, nor the Department of Energy, from any and all such losses, damages, and claims.
