As DOE O 142.3A, Unclassified Foreign Visits and Assignments Program (FVA) applies not only to physical access to DOE sites, technologies, and equipment, but also information, all remote events hosted by Fermilab must comply with FVA requirements. This includes participant registration and agenda review. Please contact Melissa Ormond, FVA Manager, with any questions.


ZOOM meetings Lab policy: You absolutely must not post Zoom meeting IDs on any public website unless you set a password to protect the meeting/event. Of course, do not post the password on any public website, either.

Exhibitor Sign-Up Deadline

  • May 23, 2018
  • Exhibit space is limited and is assigned on a first come/first served basis.

What is NOT Provided: 

  • Computer equipment and power cords
  • Security storage area
  • Travel arrangements
  • Shipping to/from the show

Limited security will be provided for the Exhibit Hall during the duration of the conference. We strongly recommend that you do NOT leave items of value to the booth or leave your booth unattended during show hours. 

Shipping to the show:  Exhibits can be shipped in advance and stored for up to 7 days prior to the workshop. For assistance with delivery or shipping arrangements, please contact conferences@fnal.gov

Exhibitor Guidelines:

  • Arrive on time for show hours
  • Provide a minimum of one person to staff the station at all times during exhibit hall hours
  • Bring literature and promotional giveaways – we expect up to 600 attendees at the conference – plan accordingly
  • Exhibitor assumes responsibility for booking and paying for his or her own travel and expenses
  • Exhibitor assumes responsibility for any personal or company-specific items throughout the show

Cancellation Policy:

  • Before May 23, 2018 – full refund less $50 processing fee
  • After May 23, 2018 – no refund
