Logistics and On-the-ground Information

Welcome to the 12th International Neutrino Summer School, to be held from August 5 to 16, 2019. We are excited to be hosting INSS 2019 at Fermilab this year, and believe we have an outstanding program, group of lectures, students, and events lined up to make this a rewarding experience. With the opening day of the school less than a week away, we wanted to take a moment to provide some information that you might find useful upon your arrival.

 

Day of arrival

When you arrive on Sunday 4th August, please make your own way to the Courtyard by Marriott Naperville (if you are staying at the hotel). You can get from the airport to the hotel by taxi (the Courtyard by Marriott recommends American Taxi, estimated fare $45 one way; Fermilab often uses West Suburban Limousine, details here) or rideshare (Uber/Lyft). Information about how to find your taxi or rideshare at O’Hare airport can be found on the O’Hare website, and the airport has free wifi in case you need to look anything up or call a rideshare. You may want to use slack to co-ordinate with other students arriving at the same time as you and share transportation.

 

The first day

For those staying at the Courtyard by Marriott, buses to Fermilab will leave the Courtyard by Marriott sharply at 8.15am and drop you off in front of Wilson Hall. The return bus from Fermilab to the Courtyard will depart after the last lecture or event of the day, following this schedule:

If you miss the bus in either direction, then you can use Uber or Lyft ride sharing services, or taxi cabs as alternatives. The hotel staff can assist with arranging alternative transportation for hotel guests. There are no readily accessible public transportation options between Courtyard by Marriott and Fermilab.

Arrangements for a bus to return to the Courtyard on Friday 16th August at the end of the school for those that need it will be made closer to the time.

 

For those not staying at the Courtyard, please arrive at Wilson Hall by 8.45am, in time to pick up your registration badge before lectures start at 9am.

 

In order to enter the Fermilab site, you will need either a Fermilab ID or a government-issued photo ID.

 

During the first few days of the school, we will arrange for everyone to go to the Users Office and get their Fermilab ID badge. You will need to bring all your documents with you, as described on this page. Please make sure to bring all necessary documents on the first day, and every day until you have been issued your Fermilab ID.  The badging groups and schedule are as follows (Revised Aug 6 schedule only):

Classes will start at 9:00 am every day in Wilson Hall, in room One West (located on the first floor). The full schedule of classes and events can be found on the INSS 2019 indico site: https://indico.fnal.gov/event/19346/overview. All relevant information pertaining to scheduled events and activities can be found on the site, but please let us know if you have any questions that you can’t find the answer to there!At the time scheduled for your group, please proceed to the Users Office on the Mezannine level with your documents to pick up your Fermilab ID badge.

We have a number of exciting tours scheduled as part of the school, including on the first day. All tour participants must wear closed-toe, flat shoes. Please wear appropriate shoes on the first day of the school and all other days that tours are scheduled.

 

Poster session

The poster session is scheduled for 6:00pm - 8:00pm on Tuesday, 6th August, during which we will have snacks and non-alcoholic beverages. All submitted posters have been accepted - you can check the list of poster abstracts at https://indico.fnal.gov/event/19346/abstract-book.pdf

 

For those presenting, please be advised that posters should be no larger than 36 inches (91 cm) wide by 48 inches (122 cm) tall, and in portrait format. There is no guarantee that printing facilities will be available, so you should make your own arrangements to print your poster before  the school. 

If you are presenting a poster, please put it up on an available poster board during the lunch break on Tuesday 6th August. After the session, you can either take your poster with you immediately, or collect it during the lunch break on Wednesday 7th August. Any posters not collected by the end of lunch break on Wednesday 7th August will be taken down.

 

Other information

Your INSS 2019 name badge can be picked up in front of One West on the first morning of the school. You will need the badge in order to attend the lectures and events, and to join the coffee breaks. Note that this is different from your Fermilab ID badge (see instructions for that above!)

 

A welcome reception will be held in the atrium on Monday 5th August, from 6:30pm - 8:00pm. You will find drink tickets in your registration badge.

 

There will be a BBQ dinner at Kuhn Barn on the Fermilab site on Thursday 8th August, 6:00pm - 8:00pm (including dinner and both alcoholic and non-alcoholic beverages). The bus will pick up students staying at the Courtyard by Marriott in front of Wilson Hall at 6:00pm and go to the barn, and then leave from the barn at 8:00pm to return to the Courtyard. Students not staying at the Courtyard are responsible for their own transportation to Kuhn Barn.

 

The final school dinner will be at Two Brothers Roundhouse on Thursday 15th August. The bus will pick up those students staying at the Courtyard by Marriott in front of Wilson Hall at 5:30pm, and leave from Two Brothers to the Courtyard at 8:00pm. Students not staying at the Courtyard are responsible for their own transportation to and from the Two Brothers Roundhouse.
