Electricity
Electricity can be ordered for your booth from Amway Grand Plaza Exhibitor Services. Please complete this form (https://indico.fnal.gov/conferenceDisplay.py/getPic?picId=11&confId=12353) and return to Kelly Van Dyke at kvandyke@ahchospitality.com or send to the address or fax located on the form.
Payment Terms
Payment is appreciated upon registering with a Visa or MasterCard. By choosing credit card as your payment type when registering in the IBIC 17 SPMS (https://spms.fnal.gov/pls/ibic17/profile.html), you will be re-directed to the FRIB CASHNet store to submit your credit card payment. IBIC 2017 also accepts certified checks and bank transfers, details can be found on your registration confirmation page when registering. Invoices can be provided upon request only for payment of Exhibitor Booth Fees. Should you require an invoice, please send an email to ibic2017@frib.msu.edu.
Payment is expected within 30 days of registering via the IBIC 17 SPMS. Booth space cannot be guaranteed until full payment has been received.
Booth Etiquette
During Exhibition opening hours, booths should be attended by an authorized representative, technically qualified to explain and demonstrate the equipment or services displayed.
The Conference reserves the right to remove any display that, because of noise or other objectionable features, detracts from the scientific and educational nature of the exhibit.
Sub-letting
Exhibitors are not permitted to sub-let booths or portions of booths to non-registered companies or individuals.
Compliance
The Exhibitor assumes all responsibility for compliance with all pertinent ordinances, resolutions and codes of duly authorized local, state, and federal governing bodies concerning fire, safety and health, together with the rules and regulations of the Amway Grand Plaza Hotel.
Shipments and Storage
Art Craft Display has been chosen to serve as the Official Exhibition Service Contractor. Any shipment of equipment and/or booth supplies must be sent to: IBIC 17, c/o Art Craft Display, Inc., 3140 Three Mile NW, Grand Rapids, MI 49534. Because of the limited storage space we cannot guarantee shipments NOT sent the to Art Craft Display will arrive at your booth. Amway Grand Plaza Hotel, Michigan State University (MSU), Facility for Rare Isotope Beams (FRIB), nor the Department of Energy, assumes no responsibility or liability for damage or theft.
Logo Usage
Upon registering as an Exhibitor in the IBIC 17 Industrial Exhibition or a Sponsor of the IBIC 17 Conference, you grant IBIC 17 permission to use your company’s logo in promotional materials including on the conference website, in the conference program and on directional signage.
Upon receiving written confirmation of payment in full from IBIC 17, please send your company logo graphic (300 dpi or greater) to ibic2017@frib.msu.edu for inclusion in the IBIC 17 Conference program and on the IBIC 17 website.
Hold Harmless Clause
The Exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of Exhibitor’s activities in the Amway Grand Plaza Hotel and will indemnify, defend, and hold harmless the Amway Grand Plaza Hotel, its owner, and its management company, Michigan State University (MSU), Facility for Rare Isotope Beams (FRIB), and the Department of Energy as well as their respective agents, servants, and employees from any and all such losses, damages, and claims.
Cancellations
Cancellations must be communicated in writing via email to the IBIC 17 Local Organizing Committee at ibic2017@frib.msu.edu.
Pre-paid booths fees are refundable less a $300 USD processing fee if notification is received in writing by Monday, 26 June 2017. Cancellations after Monday, 26 June 2017 will result in forfeiture of the entire exhibitor registration fee. Refunds will be made by credit card, check or bank transfer, depending on the original payment method.
