Terms and Conditions for Delegates, Exhibition and Sponsorship

Cancellations
Delegate and Student cancellations, pre-paid registration fees are refundable less a $100 USD processing fee if notification of cancellation is received in writing by Thursday, 20 July 2017. Cancellations after 20 July 2017 will result in forfeiture of the entire delegate registration fee; however, a substitute registrant will be accepted. Refunds may be granted for no-shows under extenuating circumstances at the sole discretion of the IBIC 2017 organizers.
 
Exhibitor cancellations, pre-paid booths fees are refundable less a $300 USD processing fee if notification is received in writing by Monday, 26 June 2017. Cancellations after Monday, 26 June 2017 will result in forfeiture of the entire exhibitor registration fee.   Refunds will be made by credit card, check or bank transfer, depending on the original payment method.

Sponsorship cancellations, pre-paid sponsorship fees are non-refundable.
 
Cancellations must be made in writing via email to ibic2017@frib.msu.edu
 
Payments
For Delegates and Students, payment is appreciated upon registering via the IBIC 17 SPMS (https://spms.fnal.gov/pls/ibic17/profile.html) with a Visa or MasterCard.  By choosing credit card as your payment type in when registering, you will be re-directed to the FRIB CASHNet store to submit your credit card payment.  IBIC 17 also accepts certified checks and bank transfers, details can be found on your registration confirmation page when registering.  Payment is expected within 14 days of registering via the IBIC 17 SPMS (https://spms.fnal.gov/pls/ibic17/profile.html).
 
Exhibitors - payment is appreciated upon registering via the Facility for Rare Isotope Beams (FRIB) CASHNet store with a Visa or MasterCard.  By choosing credit card as your payment type in when registering in the IBIC 17 SPMS (https://spms.fnal.gov/pls/ibic17/profile.html), you will be re-directed to the FRIB CASHNet store to submit your credit card payment.  IBIC 17 also accepts certified checks and bank transfers, details can be found on your registration confirmation page when registering.  Invoices can be provided upon request only for payment of Exhibitor Booth Fees.  Should you require an invoice, please send an email to ibic2017@frib.msu.edu.  Payment is expected within 30 days of registering via the IBIC 17 SPMS.
Please note:  Booth space cannot be guaranteed until full payment has been received.

IBIC 17 will accept credit cards and checks only for on-site registration. 
 
Shipping Information
Shipping instruction will be posted 12 weeks prior to the Conference.
 
Booth Etiquette
During Exhibition opening hours, booths should be attended by an authorized representative, technically qualified to explain and demonstrate the equipment or services displayed.
The Conference reserves the right to remove any display that, because of noise or other objectionable features, detracts from the scientific and educational nature of the exhibit.
 
Sub-letting
Exhibitors are not permitted to sub-let booths or portions of booths to non-registered companies or individuals.
 
Compliance
The Exhibitor assumes all responsibility for compliance with all pertinent ordinances, resolutions and codes of duly authorized local, state, and federal governing bodies concerning fire, safety and health, together with the rules and regulations of the Amway Grand Plaza Hotel.
 
Storage, Set up and Dismantling
Because of the limited storage space we cannot guarantee to fulfill all requirements concerning the storage space. Please take this into consideration for the delivery of your material. Amway Grand Plaza Hotel, Michigan State University (MSU), Facility for Rare Isotope Beams (FRIB), nor the Department of Energy, assumes no responsibility or liability for damage or theft.
 
Time schedule for set up and dismantling is as follows:
On Sunday, 20 August 2017, exhibitors should set up their displays between 8:00am and 5:00pm EST.
Exhibitors should remove their displays on Wednesday, 23 August 2017 between 6:00pm and 7:00pm or Thursday, 24 August 2017 between 8:00am and 12:00pm EST.
 
Information on drayage, shipping and sending materials will be sent 12 weeks prior to the conference.
 
Logo Usage
Upon registering as an Exhibitor in the IBIC 2017 Industrial Exhibition or a Sponsor of the IBIC 2017 Conference, you grant IBIC 2017 permission to use your company’s logo in promotional materials including on the conference website, in the conference program and on directional signage. 
Upon receiving written confirmation of payment in full from IBIC 2017, please send your company logo graphic (300 dpi or greater) to ibic2017@frib.msu.edu for inclusion in the IBIC 2017 Conference program and on the IBIC 2017 website.
 
Hold Harmless Clause
The Exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of Exhibitor’s activities in the Amway Grand Plaza Hotel and will indemnify, defend, and hold harmless the Amway Grand Plaza Hotel, its owner, and its management company, Michigan State University (MSU), Facility for Rare Isotope Beams (FRIB), and the Department of Energy as well as their respective agents, servants, and employees from any and all such losses, damages, and claims.

Sponsors - payment is appreciated upon registering via the Facility for Rare Isotope Beams (FRIB) CASHNet store with a Visa or MasterCard.  Invoices can be provided upon request only for payment of Sponsorship Fees.
